Questions we get often
How are seats counted?
A seat is one synced Karbon user. Karbon HQ accounts (the karbonhq.com domain) are excluded by default, and you can add contractor or vendor domains to your own exclusion list in settings. Excluded users still sync — their time entries flow into client cost analysis — they just don't count toward your bill.
When does the trial start?
The seven-day clock starts the moment your Karbon API keys validate, not when you sign up. Karbon's API enablement queue usually takes one or two business days; we don't want that time to come out of your trial.
Do I need a credit card to start the trial?
No. You can sign up, request Karbon API access, enter cost data, and explore the empty-state UI without a card. We only ask for payment if you want to keep your reports live past day seven.
How is billing calculated?
We meter seat-days — each billable user is counted once per day they were active. At the end of the cycle we divide total seat-days by the days in the cycle to get a fractional seat-equivalent, then apply the tier ladder ($5 for the first ten, $3 for each above). Adding or removing staff mid-month prorates cleanly; you never pay for a seat that wasn't there.
How often will I be charged?
Monthly, in arrears, through Stripe. You'll receive a Stripe-hosted invoice and receipt for each cycle. No annual prepayment or contract commitment at this time.
What happens if my trial ends before I add a payment method?
Your account moves to a paused state. Sync keeps running so your data stays current, but reports are gated until you add a card. Nothing is deleted — drop a card in at any time and your reports come right back.
Can I extend the trial?
Yes, in cases where Karbon's API enablement ran long, a holiday got in the way, or something on our side delayed you. Reach out and we'll extend it — every extension is audit-logged on your tenant.
What happens at year-end?
Nothing special. Subscriptions roll month-to-month with no anniversary lock-in, so December 31 looks the same as any other cycle close. Annual prepayment isn't offered at this time.
Can I cancel any time?
Yes. Cancel from your billing settings and the subscription ends at the close of the current cycle. We don't delete your tenant — re-add a card later and you're back where you left off.
Is there a discount for larger firms?
The second tier is the discount — every seat past your tenth is $3/mo instead of $5/mo, automatically. We don't have a separate enterprise SKU at this stage; if you have a need that doesn't fit (annual prepay, custom security review, SAML SSO) get in touch.
